Member Experience Coordinator
About This Role
The Member Experience Coordinator is the face of the House. When a Member walks through the door, when a prospect calls about touring, when a client needs to know if the room will be ready by six, this is the person who answers, and answers well.
The role exists for two reasons. First, the Membership Desk must be covered, warm, and sharp on the days our Operations Coordinator is unavailable. Second, the growth side of the House needs someone who can walk a prospective Member through the building and make them feel what we built here, not just see it. Between those two things sits the daily work of keeping events coordinated, supplies stocked, and communication flowing between the kitchen, bar, and floor.
This is a hospitality role with operational teeth. Polish at the desk, competence behind it.
Direct Responsibilities
Membership Desk and Arrivals
Own the Membership Desk on Tuesdays and Thursdays, plus additional scheduled shifts, ensuring the desk is never dark during operating hours.
Greet every Member and guest by name where possible, verify guest registration, and set the tone for the visit within the first ten seconds.
Enforce House policies at the door and on the floor with warmth and zero ambiguity, including our phone, photography, and guest conduct standards.
Answer the House line and desk inquiries with fast, complete responses. Nothing gets dropped, nothing sits unanswered overnight.
Membership Tours and Prospect Support
Conduct scheduled and walk-in tours of the House, telling the TolHouse story with confidence across Bar One, Earth, Lucille's, Muse, The LaFountaine, and event spaces.
Capture prospect information cleanly and route qualified leads to the Chief of Staff or GM with context, not just a name.
Follow up with prospects on a defined cadence and track open conversations through to a decision.
Support membership onboarding logistics, including welcome touchpoints, orientation scheduling, and first-visit coordination.
Event Coordination
Coordinate physical setups for coffeehouse events, private events, and room turnovers, including furniture, signage, and audiovisual readiness.
Serve as the on-site logistics contact during assigned events, running the timeline and managing run-of-show so leadership is not pulled into the room.
Oversee catering setup, replenishment, and breakdown for events on assigned shifts.
Provide planned after-hours event coverage as needed, with hours adjusted earlier in the day or on another day within the same workweek.
Light Inventory and Supply
Execute weekly stock checks and counts for assigned categories, flagging low or out items before they become a service problem.
Support kitchen inventory tracking and ordering in partnership with the Operations Coordinator and kitchen leadership.
Coordinate inbound deliveries, GFS runs, and vendor arrival windows, verifying orders against invoices at receipt.
Maintain par levels on House consumables and desk supplies.
House Operations and Communication
Monitor and triage operational alerts across Slack channels, routing kitchen, bar, and facility issues to the right person for rapid resolution.
Complete a full House walkthrough at the start of each shift, confirming every room and shared space is immaculate and correctly set for what is scheduled that day.
Turn on rooms for Members who move into unattended spaces, including lights, music, and AV.
Complete and submit required operational checklists on time, every shift.
Business Support
Provide first-touch, same-day turnaround on inbound event and business inquiries, routing them to management with the details already gathered.
Support fast back-office turnaround on quotes, contracts, and client logistics once ownership directs it.
Keep the internal machinery running clean so leadership stays focused on growth.
Qualifications
Required
Two or more years in hospitality, front desk, guest services, membership, retail, or administrative coordination.
Genuine comfort with people. You can hold a conversation with a stranger, read a room, and make someone feel welcome without performing.
Proven follow-through. You close loops, you track open items, and things do not fall through the cracks on your watch.
Availability every Tuesday and Thursday, plus flexibility for evening and weekend event coverage.
Working proficiency with Slack, Google Workspace, and point of sale or scheduling systems. We use Square. If you have not used it, you can learn it fast.
Discretion and confidentiality. Our Members trust this House with their privacy and that trust is not negotiable.
Ability to stand and move throughout the building for the duration of a shift, lift and carry up to 40 pounds, and set up and reset event spaces.
Valid driver's license and reliable transportation for vendor runs.
Preferred
Experience in a private club, boutique hotel, restaurant group, or membership organization.
Event coordination or run-of-show experience.
Inventory, ordering, or vendor management experience.
Familiarity with Toledo, its business community, and its cultural landscape.
Comfort with light sales conversation. Tours convert, and we want them to.
